Start with the agreed order version
Keep the quotation, confirmed variant images, packing details and approved sample available when goods arrive. Count cartons and packages before distributing them to different staff. Record which package contains each reference and shade. A visual resemblance to the catalogue does not establish that the delivered pieces are the ordered variant or that a roll contains the agreed usable length.
Inspect in a consistent sequence
Compare identification first, then quantity and unit, then dimensions and visible condition. For borders, note joins and interruptions where continuity matters. For paired appliqués, count usable left and right pieces separately. Set an inspection scope with the responsible parties appropriate to the order; this checklist does not define a contractual acceptance level or a formal statistical sampling standard.
Record a discrepancy before mixing stock
If something differs from the order, keep the affected material identifiable and photograph the package, whole piece and close detail with a scale where useful. Describe the issue precisely: wrong direction, missing piece, measured length difference or visible damage. Avoid altering or sewing the disputed material before discussing next steps, since that can make the original condition harder to assess.
Release stock with traceability
Record accepted quantities and any items awaiting clarification by reference and batch identifier where supplied. Link issued material to the garment job and retain the order documents. Ask about any discrepancy through the existing business contact with the factual evidence attached. Do not assume an inspection observation creates a particular return, replacement or refund right; refer to the agreed purchase terms.
