Separate the selling unit from the package
A quoted roll, bundle or set is incomplete unless its contents are defined. Ask for net length or usable piece count, then record how many units go in each package. A packing format does not automatically establish the sales unit. Keep the quotation quantity and packing quantity in separate fields so purchasing and receiving staff can reconcile the shipment without guessing.
Make continuous length explicit
For borders, state the minimum uninterrupted cut required by the garment and ask how joins will be identified. A package containing the correct total metres may still be unsuitable for a long front opening. If mixed lengths are acceptable for smaller placements, define them separately. Keep approved short sections distinguishable from continuous stock reserved for the longest garment parts.
Describe separation and identification
Ask for references, variants and colours to remain identifiable through unpacking. For raised or paired pieces, discuss separation that lets the receiver count usable items without unnecessary handling. Do not prescribe a universal packing material from a photograph; request the supplier's proposal for the actual construction. Review package dimensions and gross weight only after the packing format is confirmed.
Confirm the specification before dispatch
Include the agreed format in the order confirmation and ask for a packing summary tied to the references. State any warehouse sorting requirement before the goods are packed. A packing photograph can help show arrangement, but it does not replace a quantity record. Use the same specification during receiving inspection and clarify any difference before releasing the goods to production.
