Keep a usable colour reference

Retain the approved sample with its reference, variant image and approval date. Store the associated base fabric reference too, so a later buyer knows what was matched. A saved screen image alone cannot act as a physical colour standard. If the original sample is no longer representative, discuss a replacement approval rather than quietly treating a recent photograph as the new target.

Compare every visible component

Place the old and proposed samples next to each other under the same lighting. Compare ground, thread and raised decoration separately as well as together on the garment cloth. Review a second relevant light if colour matching is critical. Record the accepted visual relationship instead of using a broad label such as black, white or gold as the entire approval instruction.

Plan which garments share a batch

Keep supplied batch identifiers where available and record which stock is issued to each garment job. Before combining remainders from different deliveries in one outfit, compare their appearance together. This is particularly useful when a long border meets matching cuffs or a neckline. Do not assume different delivery dates prove a difference, or that identical product names prove an exact match.

Ask about the proposed supply

Send the previous approved reference, required repeat quantity and any remaining garment fabric to the supplier. Ask whether a current comparison sample is available and how the proposed goods relate to the previous approval. Agree any acceptance criteria and evidence before ordering. Avoid a blanket zero-colour-difference promise that neither a catalogue photograph nor an unspecified measurement can support.

  • Retained shade sample and original base fabric.
  • Current comparison sample and agreed review conditions.
  • Batch identifiers and garment-job allocation.
