Save more than a product name

Keep the catalogue reference, selected image, colour approval and confirmed dimensions from the first order. Note whether the item was supplied in pieces, pairs or measured length. If a product family contains several visible options, the family reference alone may not identify the exact variant. Add the previous quotation or order reference so the supplier can review the earlier agreement.

State what has changed

A repeat design can still have a new requirement. State whether the base cloth, garment size mix, placement or destination has changed. Recalculate consumption where the layout differs, rather than multiplying the previous purchase quantity automatically. If old material will be combined with new supply, say how much remains and identify the shade sample used for comparison.

Confirm current supply, not yesterday's terms

Ask whether the same variant is currently available and whether a comparison sample is needed. Confirm the current minimum, packing, quotation validity and preparation timing for this order. Do not treat an old price or dispatch estimate as a standing commitment. If a substitute is offered, list it separately and review appearance, dimensions, direction and cutting impact before accepting it.

Send one complete repeat brief

Use the enquiry list for the current references and add the earlier approval record in the WhatsApp conversation after copying the enquiry. Clearly mark the requested new quantity and unit. Keep the final repeat confirmation with the previous record but give it a new version and date. This preserves continuity without hiding changes that receiving or sewing staff need to know.

  • Previous reference, image and approval record.
  • New quantity, unit and garment changes.
  • Current supply confirmation and separate alternatives.
