Keep identification with the material

Assign a stock record to the catalogue reference and exact variant, with the order or batch identifier where supplied. Keep that record attached to the storage position as well as the inventory sheet. Avoid merging similar-looking colours into one unnamed container. When a package is divided between jobs, copy its identification so the remaining material can still be traced later.

Follow the actual product's handling guidance

Ask the supplier about suitable support, wrapping and storage conditions for the selected construction. Keep decorated surfaces from being compressed or tangled during normal handling where the packing guidance calls for separation. Do not invent a temperature, humidity or storage-life guarantee for the whole catalogue. If a condition matters to your stockroom, request a specific recommendation and keep it with the product record.

Record usable remnants, not just leftovers

Measure remnants and note whether they contain complete motifs, a join or a cut end that limits use. For paired appliqués, record which side remains. Link remnants to a possible future placement instead of counting every fragment as interchangeable stock. Keep the retained approval sample separate from usable production material so it is not accidentally cut to complete a small job.

Check stock before a repeat enquiry

Count confirmed usable quantity and note any material awaiting inspection or shade comparison. Send the resulting shortage by reference and unit when asking for a repeat quotation. If you hope to combine new supply with an old remainder, say so and request a comparison sample where necessary. A spreadsheet total alone does not show that all recorded material is suitable for the intended garment.
