Give every component its own row

A trim bill of materials connects a garment design to the items purchasing must source. List each neckline, cuff border, hem border and appliqué separately. Include the catalogue reference, selected image or variant, placement and measurement unit. A product family can contain multiple options, so do not let a general name stand in for the exact item approved by the designer.

Calculate demand from the garment plan

Record consumption per garment size, then multiply by the planned size quantities. Keep length-based borders separate from piece-based decorations. For example, 60 garments requiring two individual appliqués each need 120 usable pieces before any separately agreed reserve. If the quotation uses pairs, confirm the pair contents before converting. The example is arithmetic guidance, not a package size or minimum order promise.

Add approval and supply status

Use separate fields for appearance approval, technical questions and quotation confirmation. Include the sample reference and any agreed packing or continuous-length requirement. A checked design row does not necessarily mean colour, material and delivery arrangements are all settled. Highlight unresolved points with an owner and next action so they do not disappear when the sheet is passed between teams.

Issue one dated revision for purchase

When a reference, quantity or garment plan changes, update the sheet and identify the revision sent for quotation. Keep earlier versions for traceability without allowing several current orders to coexist in chat messages. Use the website enquiry list to gather references, then attach the detailed component sheet yourself in WhatsApp. Ask the supplier to confirm the applicable lines and exceptions against that version.

  • Reference, exact variant, placement and unit.
  • Consumption by size and explicit reserve.
  • Approval state, open points and dated revision.
