Define the reference sample's role
Choose which accepted sample records the appearance or construction you want to compare later. Distinguish it from a working swatch passed around the sales desk and from a sample altered during a sewing trial. Record what the retained piece represents: colour, motif, dimensions or an assembled detail. One small piece may not represent every important feature of a complex border.
Label the record without obscuring the sample
Keep an accompanying card with the reference, variant, approval date, relevant order and photograph identifiers. Position it so the feature being compared stays visible. Add the approved measurement diagram or placement drawing where needed. Internal storage labels belong to your reference system; they should not be mistaken for decorative features or published as clean catalogue product photography.
Keep working copies separate
Prepare working swatches for routine presentations and retain the agreed reference separately under a documented storage arrangement. Record when it is removed for comparison and any change in its condition. If it is cut, cleaned or otherwise altered, do not silently continue treating it as the original untouched reference. Note the change and discuss whether another agreed reference is needed.
Reference the retained sample in a reorder
Send the sample identifier with the reorder request and ask what matching evidence can be provided for the proposed supply. Agree how differences will be reviewed using the same feature and method. A retained reference improves traceability but does not prove that future batches will be identical. Keep any changed approval as a new record connected to the earlier one.
- Reference role and represented features defined.
- Working swatches kept apart from the retained piece.
- Condition changes and revised approvals traceable.
