Group swatches around the buyer's decision
Decide whether the sales book helps buyers compare garment placement, colour families or decorative outlines. Keep the grouping simple enough to browse during a conversation. Avoid mixing loose appliqués and length-based borders without clear unit labels. A useful book helps the salesperson ask the next question rather than merely displaying the largest possible number of samples.
Give each swatch an exact identity
Record the catalogue reference, selected image or variant and the feature the swatch demonstrates. Use an overview image when a small cut cannot show the full repeat or complete neckline. Explain whether the physical piece is a colour reference, construction example or a complete item. Keep internal labels readable without obscuring the decorative area the buyer is comparing.
Separate presentation from supply confirmation
A retained swatch shows what was presented, not what is currently available. Give the sales team a way to mark supply questions and replacements requiring review. Do not print unconfirmed stock, MOQ or lead-time promises into the book. Keep working swatches separate from an untouched control reference so routine handling does not remove your later comparison basis.
Turn selections into a complete enquiry
When the buyer selects a swatch, record the reference and exact variant with quantity, unit, destination and sample need. Add those references to the website enquiry list, then attach any supporting layout yourself in WhatsApp. Ask for current confirmation against the selected lines. Keep revised swatch identities dated so a later order does not rely on an obsolete handwritten description.
- Clear grouping by a real buying question.
- Every swatch links to an exact catalogue variant.
