Choose the dimensions that matter
For a neckline, the opening and outer span may matter more than one overall width. For a scalloped border, distinguish peak width from the narrower interval. Mark each measuring point on the selected sample image. Agree which dimensions affect fit or attachment before asking for a general tolerance, otherwise the supplier and buyer may be measuring different parts of the same design.
Use the same sample condition
Specify how the piece is placed for comparison: face orientation, flat support and whether it is measured before or after garment assembly. Avoid stretching one sample while leaving another relaxed. Ask the technical team to define any preparation needed for the particular construction. Record the unit and measuring tool so later checks follow the same agreed basis.
Agree acceptable variation for that item
Discuss the acceptable range for each critical measurement with the supplier and garment team. Do not copy a percentage or millimetre allowance from an unrelated trim. Check whether the proposed range still permits the approved garment layout. If no agreement exists, record the dimension as unresolved rather than presenting your internal target as the supplier's confirmed production tolerance.
Make inspection records comparable
Keep the annotated reference, agreed limits and actual readings together. When discussing a difference, show the measuring points and sample identity rather than sending a cropped ruler photograph alone. Ask the supplier to compare using the same method. This turns a vague too wide message into a reviewable dimensional question without inventing a universal standard for decorative products.
- Critical dimensions and measuring points drawn.
- Condition, unit and comparison method shared.
- Item-specific limits agreed before acceptance claims.
