Name the change against the accepted version

Start with the accepted reference, variant and sample version, then state exactly what you want changed. Separate quantity changes from colour, dimensions or construction changes. A message saying use the other one can contradict the approved image without identifying which line it replaces. Keep the original record and issue a dated revision rather than editing the history silently.

Check which decisions depend on it

Review the garment layout, paired counts, cutting consumption and packing plan for consequences of the change. If the component width changes, the effect may extend beyond the one order line. Ask the responsible garment team which previous approvals still apply and which need a new sample. Do not let a simple-looking substitution inherit technical approval automatically.

Ask about the current supply stage

Ask the supplier what stage the affected items have reached and which revised arrangements can be considered. Request confirmation of any effect on the quotation, quantity basis or proposed dispatch plan. Do not assume that a requested change is feasible or already accepted. Keep the answer linked to the dated revision so everyone works from the same acknowledged request.

Close the change before releasing the new version

Record acceptance, open points and the replacement lines, then identify one version for current action. Notify your own workshop which instructions are superseded. Keep the changed sample reference with the revised component sheet. If any point remains pending, label it clearly rather than mixing approved and unapproved details inside a document called final order.

  • Original and revised versions both identifiable.
  • Affected layout and sample approvals reviewed.
  • One acknowledged version released for current action.
